Medical incident
response in the room

A physician on scene, a record for the guest, and a clear line to 911 when that line is the right one.

Where we sit in your incident plan

We are the step between your on-duty team and a hospital, for the calls that are not emergencies. A physician comes to the room, assesses the guest, treats what can be treated on scene, documents the visit for the guest, and tells you plainly when the answer is transport. We do not replace 911, and we never ask your team to wait on us when a guest is deteriorating.

What we do on an incident call

Assessment on scene

History, vitals, a full physician exam, and rapid testing in the room where testing changes the decision. Point-of-care ultrasound is available for abdominal pain, soft-tissue injury, and suspected fractures.

Treatment in the room

IV hydration, anti-nausea and non-opioid pain control, IV antibiotics, wound cleaning, sutures, splinting, and a first dose of any medication prescribed, so relief starts before a pharmacy is involved.

Documentation to the guest

The visit note, any prescriptions, and an itemized superbill with diagnosis and procedure codes go to the guest before the physician leaves. Whether the guest’s insurer reimburses is between the guest and their policy.

Escalation criteria

Chest pain or pressure, stroke signs, severe difficulty breathing, uncontrolled bleeding, a severe allergic reaction, altered consciousness, or major trauma are 911 calls, made immediately and without waiting for us.

Transport recommendation

If the guest needs more than a room can hold, the physician says so on scene, names the facility, and coordinates the handoff. Your team gets a named facility and the reason for it.

What we do not do

We are not 911, and we do not replace it

For anything life-threatening, your team calls 911 first. An ambulance reaches the room faster than a private physician, and a hospital can do things a suite cannot. If you call us and it turns out to be an emergency, we tell you to call 911 and we stay on the line.

We never ask a guest to sign a waiver protecting the hotel

Our consent forms cover the medical treatment the guest is about to receive. Nothing we hand a guest releases, indemnifies, or protects the property. A vendor that puts your name on a treatment consent is creating a problem for you instead of solving one.

The guest’s consent and record belong to the guest

Consent to treat runs between the guest and the physician. The medical record belongs to the guest, and your property is not a party to it. We do not hand a guest’s chart to a hotel, and no paperwork from us will carry clinical detail the guest has not released.

Privacy and what your team can be told

TrufaMED is a HIPAA covered entity. Our Notice of Privacy Practices is published at trufamed.com/notice-of-privacy-practices and given to every patient at registration.

Your team can be told what it needs to run the building: that a guest was seen, that a guest was transported, that a room needs attention after a medical event. Diagnosis, test results, and treatment stay with the guest unless the guest signs a release. If your risk team needs more than that for an incident file, the guest is the one who authorizes it.

What documentation the guest receives

  1. The physician’s visit note, written at the time of the visit.
  2. An itemized superbill with diagnosis and procedure codes, in the format travel insurers ask for.
  3. Any prescription written, plus a record of any medication given in the room.
  4. Results from anything run on scene, including the rapid strep, COVID-19, and flu tests that are included in the visit fee.
  5. A written recommendation if transport or follow-up was advised, so the guest carries it to the next clinician.

The guest can share any of it with your risk team. We will not do that for them.

After-hours coverage

The overnight line

The phone is answered every hour of the night. A Rapid Response request is confirmed within about 30 minutes and the physician is at the guest’s door within 4 hours of the request. Along the hotel corridor from Miami Beach to Sunny Isles, that is often within the hour. A request after 11 PM is handled at the after-hours rate, $2,500.

Why it matters at 3 AM

Overnight is when a night manager has the fewest options and the highest exposure. A guest who is examined in the room at 3 AM does not become a lobby incident or a review about how your property handled it.

The clinic behind the room visit

When a guest needs imaging, a full lab, or a longer look, our clinic is 1.4 miles from Bal Harbour at 9445 Harding Ave in Surfside, with X-ray, an on-site lab, and ultrasound. It is accredited by The Joint Commission, and it is the same practice that sent the physician, so nothing is repeated and no record is lost between the two.

A 30-minute briefing with your team, a card for the night desk, and a private request link for the property. Nothing changes hands in either direction, in keeping with Florida s. 456.062 and s. 817.505.

In-room physician visits treat conditions that are not life-threatening. For chest pain, stroke symptoms, severe difficulty breathing, or major trauma, call 911 immediately. Clinic hours are Monday to Friday 9 AM to 9 PM, Saturday 11 AM to 11 PM, and Sunday 12 PM to 8 PM. In-room physician visits run 24 hours a day, 7 days a week.
