What to require from any in-room physician vendor

Run this list on us and on anyone else your property is considering. Every item can be produced in writing before a first guest is ever sent.

  1. A named roster of licensed clinicians with specialty and board certification, verifiable at flhealthsource.gov.
  2. Facility accreditation (we hold Joint Commission).
  3. A current certificate of malpractice insurance.
  4. Published guest pricing with cancellation and no-show terms in writing.
  5. No free or discounted services to hotel staff, and no referral payments in either direction (Florida s. 456.062 and s. 817.505).
  6. A Notice of Privacy Practices.
  7. A coded superbill for the guest, with no promise that an insurer will reimburse.
  8. A written response standard.
  9. An escalation path to a licensed facility with imaging and lab.
  10. No requirement that a guest sign a release or indemnity protecting the property before treatment.

What hotel teams ask before they send us a guest

How fast can a physician reach a guest’s room?

A Rapid Response request is confirmed within about 30 minutes, and the physician is at the guest’s door within 4 hours of the request. Along the hotel corridor from Miami Beach to Sunny Isles, that is often within the hour. A same-day visit is seen by the end of that day. Requests after 11 PM are handled at the after-hours rate, and the phone is answered every hour of the night.

What does a visit cost?

The physician visit fee is set by how fast the guest needs to be seen. Rapid Response is $1,600, same-day is $1,200, and after 11 PM is $2,500. Rapid strep, COVID-19, and flu tests are included in that fee. Anything else, such as RSV or mono testing, urinalysis, IV therapy, ultrasound, send-out labs, or sutures, is quoted to the guest before the physician is dispatched. A cancelled or missed house call is charged the full visit fee.

Do you pay hotels or staff for referrals?

We never pay for referrals and never accept them. No commissions, no gifts, no complimentary care for staff. Florida law forbids it and so do we.

Can the visit be charged to the guest’s room?

The guest pays TrufaMED directly by card in most cases. If your property prefers to put the charge on the folio, we invoice the property for the same amount the guest would have paid, with nothing added and nothing kept back. We do not add anything for the pass-through.

What happens if a guest needs a hospital?

If a situation is life-threatening, call 911 first. Our physicians are not a substitute for emergency services. For everything short of that, our clinic at 9445 Harding Ave in Surfside is the step-up, with X-ray, an on-site lab, and ultrasound, and the physician who saw the guest coordinates the handoff.

Do your physicians speak the guest’s language?

Spanish, Portuguese, Hebrew, Russian, French, and Creole are spoken across the clinical team. Tell us the language when you call and we will match the guest where we can.

What does the guest receive after the visit?

An itemized superbill with diagnosis and procedure codes, which is what most travel insurers ask for, plus the visit note and any prescriptions. Whether the insurer pays is between the guest and their policy. We do not promise reimbursement.

How does a property get set up?

A 30-minute briefing with your concierge team, a printed card for the desk, and a private request link issued to your property. There is no contract to sign and no fee to the hotel for any of it.

Clinic hours are Monday to Friday 9 AM to 9 PM, Saturday 11 AM to 11 PM, and Sunday 12 PM to 8 PM. In-room physician visits run 24 hours a day, 7 days a week.
